Refund Policy

Refund eligibility, cancellation, and deposit terms for Panel Grove Field custody advisory services.

Scope

This policy applies to paid custody advisory engagements: annual custody reviews, seed phrase audits, recovery rehearsals, and cold storage site mapping. It does not apply to third-party vault fees, ferry tickets, or hardware purchases, which are client responsibilities.

Deposits

We require a 40% deposit to confirm planning sessions and field visit dates. Deposits are invoiced in Korean won by bank transfer.

Cancellation by client

  • More than 30 days before the first scheduled field visit: full deposit refund minus ₩150,000 administrative fee
  • 15–30 days before: 50% of deposit retained; remainder refunded within fourteen business days
  • Fewer than 15 days before: deposit retained; we will attempt to reallocate the slot to another client but no refund is guaranteed

Planning sessions completed before cancellation are non-refundable if documentation work has begun.

Rescheduling

One reschedule per engagement is permitted without penalty if requested at least fourteen days before the affected visit. Additional reschedules may incur ₩200,000 replanning fee plus any non-refundable travel costs already incurred.

Cancellation by Panel Grove Field

If we cancel due to practitioner illness or force majeure, we offer a full deposit refund or priority rescheduling at your choice. We are not liable for third-party vault access fees you may have paid separately.

No-shows

If client signatories fail to attend a confirmed vault visit without notice, that day is charged in full and counts toward the engagement. A second no-show may result in engagement termination without refund of remaining deposit.

Work already started

If field visits have occurred or a custody report is in production, fees for completed days and report preparation are non-refundable. Partial refunds may apply only to unused scheduled days not yet performed.

Purchased materials

Tamper-evident bags, ledgers, and photographic supplies included in your quote are non-refundable once prepared with your engagement reference.

Recovery rehearsals

Rehearsal sessions interrupted because live seed material would be exposed unsafely may be rescheduled once without additional rehearsal fee. If the second attempt cannot proceed for the same reason, the rehearsal fee is non-refundable and noted in the drill report.

Refund process

Approved refunds are processed to the original bank account within fourteen business days. Contact contact@panel-grovefield.click with your invoice number and engagement date.

Disputes

Unresolved refund requests may be escalated in writing to Panel Grove Field Custody Advisory, Office 11, 76 Placeholder-gil, Jeju-si, Jeju 00000. Korean consumer dispute resolution channels remain available where applicable.
